If you use the contact form we collect your name, your email address, when you need the work done and whatever you write in the message. Your company name is optional. If you email us directly we hold that correspondence instead.

When you press send, the form submits those details to our own endpoint, which sends them on to us as an email. Two things about that are worth stating plainly. To stop the form being used to send bulk mail we keep a scrambled, one-way form of your IP address — never the address itself. And the endpoint writes one line to a server log for each submission, recording whether it succeeded, how much text was sent and that same scrambled value. The line never contains your message, your name or your email address.

We do not use analytics or advertising cookies.

To reply to your enquiry and, if it goes further, to prepare a proposal. The lawful basis is legitimate interest in responding to a business enquiry you initiated, and where a contract follows, performance of that contract.

The scrambled IP address rests on a different legitimate interest: keeping the form working. Without some way to count recent submissions, one automated sender can fill the inbox the form delivers into, and every real enquiry behind it goes unread.

Enquiries that don’t become projects are deleted after twelve months. Records relating to client work are kept for as long as we are contractually or legally required to.

The submission counts keyed to your scrambled IP address delete themselves within 48 hours. The server log line holding that same value is kept for 30 days, and then goes with the rest of the log. Neither holds anything you wrote.

Our email and hosting providers, acting as processors. What you send through the form is processed by Amazon Web Services, in their London region, and sent to us from there as an email; it is then held in our inbox like any other correspondence. Both AWS and our mail provider are US-headquartered, so correspondence you send us is stored outside the UK under the safeguards those providers offer for international transfers. Nothing is passed to anyone else, and none of it is used for marketing: we will not add you to a mailing list because you asked us a question.

You can ask us for a copy of what we hold about you, ask us to correct or delete it, or object to how we use it. Email us and we’ll deal with it within one month. If you’re unhappy with the response you can complain to the Information Commissioner’s Office at ico.org.uk.
